There are two tabs or pages in a Name Segment. The Filter tab is where you select the filter conditions for your Output. The Output Tab is where you tell Denari how you want to receive your list of names. Click the Output tab at the top of the page.
The first field is Output Type and there are a number of ways that you can get your list of names.
-
-
an address phone list report
-
several different Avery labels
-
comma delimited and comma separated files and other database type formats
-
-
three different email possibilities
Most of these are self explanatory so we will focus on Excel and the Email Outputs here.
Excel Output
When you choose Excel, you must also choose a Sort Order for the output in the field below the Output Type field. Denari will not let you run the segment until you have chosen a Sort Order.
If you click the Run Segment link at the top at this point, Denari will output the Excel file to your In Box using the filters you have selected on the Filter tab. The file contains a number of name related fields. If you remember the rule, the name segment outputs name characteristics, so you won’t get specific gift information from a name segment. You will get things like the name and address fields, email fields, etc.
You will notice that when you select Excel several check box fields open below. Checking those boxes will add fields to the Excel output. If you check ‘Include Statistics’ for example, that will add giving statistics fields to the output. They will be things like Last Gift Amount, Last Gift Date, Largest Gift, Smallest Gift, Average Gift, YTD, Life to Date, and more. Remember these are giving statistic fields, not specific gift information. They tell you about the donation history of the donor. They are characteristics of the donor.
When you check the Include Classifications check box Denari adds columns to the spreadsheet, one for each classification that you have chosen to display. Picture a spreadsheet with rows of names and columns of information. There are columns for name, address, etc. and columns for classifications. If a name record has a classification you will see an 'X' in the cell that corresponds with that name and column. There is a limitation, however. Excel has a limit to the number of columns that it will display. If you have 500 classifications, for example, Excel will not display all of the columns. It will simply cut them off at the limit. So Denari provides a way for you to select specific classifications that you want to include in the output.
Open a
Classification record (Click the Plus sign a the top of the page then select Classifications. Select any Classification.)
The section at the bottom of the classification page shows an Export Name field. If you put something in that field, Denari will output that classification to Excel when you check the Include Classifications check box and it will use the value that you type here as the column header. If this field is left blank, Denari will NOT output this classification. This allows you to control how many classifications will be included in the output making the spreadsheet smaller and easier to use but also avoiding the Excel cut off.
The
Include Pledge Info check box can be a little misleading. Checking the box will add the pledge information associated with a name record to the Excel output. However, remember that the purpose of name segmenter is to output a list of names, not pledges and not gifts. Picture the spreadsheet with rows of names and columns of information. Denari will add pledge columns to the output but it will
only show one pledge. Since each row lists a different name there is no space to add multiple pledges per name. For this reason,
Pledge Segmenter is a much better place to get pledge information.
Checking the
Include User Data check box will add
User Defined Fields to the Excel output. However, like Classifications, it is easy to overdue it and max out the number of columns. So Denari gives you a mechanism to choose which fields you will want to include in the output. You will find a check box called 'Include in Output' in the User Data set up record. When that box is checked and you have checked the Include User Data check box in the name segment, Denari will include that column in the output.
Include Amount Range Gift Segment Stats adds additional statistical columns to the spreadsheet that are based on a Giving Statistics filter when using a
Gift Segment. See the section on
Giving Statistics for more information.
The use of the Gift Segment causes Denari to calculate a set of giving statistics based on the filters of the gift segment. Denari will add those columns to the spreadsheet.
